Property Administrator (Remote) [South Africa]


 

SUMMARY of Responsibilities

Responsible for the administration and upkeep of property portfolio ensuring efficient coordination with concerned parties such as agents, tenants, prospective clients, the Finance department and third-party providers/vendors. Also drives the attainment of project management objectives through effective facilitation of activities including planning, scheduling, regular monitoring, updating, coordinating, marketing, simple bookkeeping, and form filing.

JOB RESPONSIBILITIES

Property and Asset Management

  • Liaise with agents via phone, text message, WhatsApp, and email to coordinate property and asset management activities relating to our property portfolio
  • Attend to regular tasks (weekly, monthly, quarterly, annual), e.g. via Google calendar, to ensure the smooth running and upkeep of property portfolio
  • Maintain accurate documentation about the property portfolio including agent reports, inspection reports, tenant identification documents, tenancy agreements
  • Write appealing ad copy and create compelling ads to attract prospective tenants to make enquiries about vacancies
  • Liaise with prospective tenants via online messaging, phone calls, text messages to agree to viewings
  • Coordinate with the Finance department to provide all necessary financial records
  • Ensure that all licenses, certificates, insurances, taxes and utilities are paid for

Project Management

  • Discuss property management and development objectives with the Managing Director and then coordinate the workflow of team members to drive forward these objectives and business agendas.
  • Assign/Monitor tasks to/of said team members including a daily setting of tasks and priorities; eg: Monitor weekly/monthly rental updates from the agents, monitor property sourcing process
  • Keep the prospective tenants pipeline updated with leads and monitor follow-ups
  • Update constant activities and reminder Services.
  • Basic Bookkeeping (Excel).
  • Track deadlines/deliverables
  • Report meeting topics for discussion, summarise goals and weekly tasks
  • Coordinate with suppliers, realtors, brokers and other vendors
  • E-mail, voicemail and calendar management
  • Meeting/Call Scheduling.
  • Travel Arrangement and Planning.
  • Form Filling

JOB REQUIREMENTS

  • Strictly graduates of Bachelor’s degree in any business-related courses (Non-degree holders will not be processed)
  • Minimum of 2-4 years of work experience in leasing and property management
  • Knowledge of real estate and related areas
  • Excellent time management skills
  • Deadline conscious and can prioritise tasks efficiently
  • Results-oriented and highly organized with effective work methods
  • Highly motivated and inclined towards constant self-improvement
  • Excellent written and oral English communication skills
  • Great communication skills using phone, email, and chat (Slack, Skype, WhatsApp)
  • Pleasant phone personality to handle telephone duties
  • Must be familiar with marketing techniques like ad posting, social media marketing, inbound marketing and email marketing
  • Proficient with MS Office Suite (Word, Excel, PowerPoint)
  • Proficient with Google Suite (Google Drive, Calendar, etc)
  • Good online research skills
  • Must be available to work in UK hours
  • Experience in working remotely is an advantage
  • Reliable internet connection required (Not less than 10 mbps)
  • Prior experience in customer service preferred

Job Types: Part-time, Permanent
Part-time hours: 15-30 per week

Salary: R48.00 - R124.00 per hour
